  1. I need to book travel, what should I do?

    Contact the Corporate Travel Dept (businesstravel@ucg.com) to determine eligibility for obtaining a corporate card. Access Cliqbook, the On-line Booking Tool, via the “Concur Travel & Expense” link at www.ucgtravel.com. Username is your corporate email address and default password is “welcome.” Once in the system, click the “Profile” link to verify and update all of your personal information. Once your profile has been updated, click the “Travel” tab to begin searching for and booking your travel requirements. A more comprehensive, step-by-step guide can be found in the “Corporate Travel Overview” under the “Help” link at www.ucgtravel.com. Review UCG’s “Travel Policy” prior to booking.

  3. How do I book a hotel for an outside conference?

    After booking your flights through Cliqbook, enter the hotel name, conference name & special rate in the “comments” box and World Travel will make the hotel reservation for you.  Special conference rates cannot be booked directly in Cliqbook.  If flights are not involved, call or email World Travel with the conference hotel details.

  4. How do I book my hotel for a UCG-sponsored conference?

    If you are traveling to a UCG-sponsored conference, you should book your flights through Cliqbook then send your travel plans to the UCG Meeting Planner working on the conference and they will make your hotel reservation for you.

  5. Can I change or cancel my reservation in Cliqbook?

    Please contact World Travel to change or cancel your travel plans. This should not be done in Cliqbook.

  6. If I need to change my return flight is it better to make the change prior to my departure?

    If possible, it is best to take your outbound flight as scheduled and then call World Travel once you arrive at your destination and have them assist with the change to your return. If you change any segment of your round-trip prior to departure, you will be charged the difference in airfare between the price of your original ticket and the price of your new round-trip ticket, plus a change fee. In most cases, it is more economical to change a return once the outbound flight has been taken.

  7. What should I do if my airline ticket is over $500? 

    The lowest available airfare should be selected. If the lowest available fare is over $500, book the fare on Cliqbook and then contact the Corporate Travel Department to see if there are options available to reduce the cost of your ticket.

  8. Why are fares different when I look at other travel booking sites? 

    Airfares may vary on other booking sites depending on how the site displays flights, calculates fare rules and summarizes the taxes and booking fees. However, our agents can ticket any/all available flights and UCG has a “low fare guarantee” in place with World Travel. If you find a lower fare elsewhere for the same exact itinerary, please forward the details to World Travel with a copy to the Travel Department and we will research the flights/fare for you.

  9. Can I book my hotel first on Cliqbook and then go back later to book my flights?

    If you need to book your hotel prior to booking your flights, please contact an agent at World Travel. You can however book your flight first on Cliqbook and then go back into the tool to add a hotel or car to the same itinerary with no additional fees.

  10. Should I accept the insurance they offer at the counter for my car rental?

    You should decline all insurance when traveling for company business as employees are covered by UCG’s company insurance. Note: in order to be covered under the company’s policy, you must write “UCG” next to your signature on the rental agreement.

  11. How do I book my same itinerary for a colleague? 

    Book your reservation through Cliqbook and put a note to the agent in the “comments” box. World Travel will make the additional reservation(s) for you. If you have ongoing requirements to book for another traveler, contact the Corporate Travel Dept.

  12. Can I book personal travel through Cliqbook? 

    The online booking tool is designed specifically for business travel and everything is direct billed to the company. The tool can be used to search for personal travel options; however, you will need to call World Travel to book personal travel, extend your business trip to include a personal leg and/or to pay for another person to join you on your business trip.

  13. How do I get my train ticket if I book an Amtrak reservation on Cliqbook?

    The ticket is available at a station kiosk or the Amtrak service desk. A photo ID and confirmation number is required.

  14. Is there an advantage to selecting the same airline carrier for my departure and return flights?

    If possible, book the same carrier for your entire itinerary. Booking a single carrier makes it easier to check-in, make connecting flights and handle en route changes. As well, there may be additional costs associated with booking multiple carriers on the same itinerary.

  15. Why doesn’t the tool show all flights when I am traveling to more than one destination?

    Contact World Travel for multi-destination trips. Cliqbook should be used for single destinations (round-trip) travel. All booking tools have limited ability to price multiple destinations due to the number of carrier combinations, rules/regulations and pricing options when combining multiple cities. Additionally, some airlines prohibit ticketing with other airlines on the same itinerary.

  16. How can I expand my search to see more flight options?

    Searching by “Price” will display the flights with the lowest fares within each pricing “bucket.” Searching by “Schedule” will allow you to see every single flight available within your search parameters. To see the greatest number of flight options, search by “Schedule” and expand the search window to +/- 8 hours before/after your departure.

  17. Can I go back and review a previous search if I have changed my search parameters?

    The tool saves previous searches for the current booking session in the upper right-hand corner of the search window. Click on “Previous Searches” to view your searches and select the option you wish to again review. Search parameters can be changed using the “Change Search” feature on the right side of the screen. Searching alternative airports and times can often provide lower cost options. Keep in mind that every time you change your options or view a previous search, the system is bringing back live inventory and flight availability may have changed.

  18.  Why does the tool shows carriers as available but when I click on them nothing happens?

    When searching by “Price,” the tool will show the flights with the lowest fares and these flights may fly in to or out of an alternate/surrounding airport from the one you selected within your search parameters. To view all of the flight options, click next to the alternate airports in the bottom right-hand corner of the screen.

  19. What does it mean if I do not get a Cliqbook itinerary right way?

    Your itinerary should be emailed to you from Cliqbook almost instantaneously. If you do not get it, please be sure you have completed the reservation by clicking the “Purchase Ticket” button that takes you to the “Finished!” message. Contact the agency if an email is not received soon after completing your reservation.

  20. Why are there times when I receive multiple travel itineraries? 

    An itinerary is sent each time the reservation is “touched” by the agent (i.e. once a booking is complete, a reservation is ticketed, a change is made, a copy is requested, a preferred seat is obtained, a lower fare is found, etc).

    You will need to call an agent at World Travel to book flights for travel departing within 24 hours.

  22. Cliqbook will not allow me to view the seat map for my flight, how do I reserve a seat? 

    At times, airlines restrict travelers from viewing their seat maps. If you cannot select a seat, continue with your booking. Once the flight is purchased, the system will automatically search for you preferred seat (as indicated in your profile).

  23. Is there a risk I will not be allowed on the flight if I do not have a seat assignment?

    If you do not have a confirmed seat on your itinerary, arrive at the airport a minimum of 2 hours before your flight. Airlines hold a portion of seats to be released 2 hours prior to departure. Regardless of seat assignments, there is always a risk that a flight will be oversold. If it is, the airline is obligated to seek volunteers to take another flight and to offer some form of compensation.
